Record Locking

 

Because some agencies wish to secure their data from intentional or accidental editing or deleting CrimeStar provides you with the ability to explicitly lock certain records. Locking records requires system Administrator capability.

 

To lock a record, recall the record that you wish to lock. From the System menu select Record Access / Locking. When you select this menu item CrimeStar will display the record locking dialog form. This form permits access levels to be set for both Edit and Delete operations. To permit everyone to have access to this record for Editing and Deleting select the entries labeled Everyone (Level 0). To increase the security access level required to perform an edit or delete operation against this record select a level from 1 to 5 for the edit and delete operations respectively. When you have finished setting the access levels click on the Save button on the record locking dialog form.

 

Once these record setting have been saved, only users with an access level equal to or greater than the levels set on that specific record will be permitted to perform either an edit or delete operation.

 

You can create a default edit and delete locking value by setting the default edit and delete values on the Locking page of the CrimeStar system configuration screen. These default values are assigned to records as they are created. Once the record has been created and saved a users access security levels must meet or exceed these default values before they will be allowed to perform any additional editing or record level deleting.

 

Note, that there are no specific capabilities or attributes associated with any specific record locking level or user access level. These values are simply relevant to each other. No matter what the value as long as the users access level for a specific module is equal to or greater than the locking level held by a record within that module, the user will have access to work with the record. Conversely, no matter what the value as long as the users access level to a module is less than the record locking level for a specific record, within the same module, the users ability to perform any function other than VIEW and print will be restricted.
